By participating in our youth soccer programs, you agree to adhere to the following terms and conditions. These terms apply to all players, parents/guardians, volunteers, and staff. 1. General Overview Ndamba.org is a nonprofit youth soccer organization based in Arlington, Texas, registered in the state of Texas. Our mission is to advance the Kingdom of God by providing children aged 4-12 the opportunity to play soccer free of charge in a safe and inclusive environment. Participation in our programs requires compliance with these terms and conditions to ensure the safety, integrity, and effectiveness of our activities. 2. Terms for Players 2.1 Eligibility 2.1.1 Players must be between the ages of 4 and 12 as of the program start date. 2.1.2 Players must complete and submit a registration form signed/initialed by a parent or legal guardian. 2.2 Code of Conduct 2.2.1 Players must demonstrate good sportsmanship, respect for teammates, coaches, referees, and opponents. 2.2.2 Players must attend weekly practices and games punctually and inform coaches in advance of any absences. 2.2.3 Players with too many absences may lose the opportunity to play in the yearly tournament. 2.2.4 Players are prohibited from engaging in any form of bullying, harassment, or physical aggression. 2.3 Equipment 2.3.1 Ndamba.org will provide basic equipment such as balls, goals, and pennies, but players must come equipped with appropriate athletic clothing and indoor or outdoor soccer cleats. 2.3.2 Players are responsible for the care and return of any equipment issued by Ndamba.org. 2.4 Health and Safety 2.4.1 Parents/guardians must inform Ndamba.org of any medical conditions or allergies the player has. 2.4.2 Players with contagious illnesses or injuries that prevent safe participation must refrain from attending until cleared by a medical professional. 2.4.3 It is the responsibility of each parent or legal guardian to ensure that each player is covered by medical insurance at all times during practice sessions and games. Ndamba.org is not responsible and parents or guardians agree to not hold ndamba.org or its affiliates, responsible for any injuries or any mishap during practices or games. 3. Terms for Parents/Guardians 3.1 Responsibilities 3.1.1 Parents/guardians must complete all required registration forms and provide accurate emergency contact information. 3.1.2 Parents/guardians must ensure that their child attends practices and games on time and with proper equipment. 3.1.3 Parents/guardians must be present at all times during practices and games. 3.1.4 It is the responsibility of parents/guardians to accompany their children to the bathroom when the need arises. 3.2 Code of Conduct 3.2.1 Parents/guardians must behave respectfully toward players, coaches, referees, and other parents. 3.2.2 Aggressive, abusive, or disruptive behavior will not be tolerated and may result in removal from the program. 3.3 Liability Waiver 3.3.1 By allowing their children, family members, and children under their care to participate in Ndamba’s soccer programs, parents and guardians do hereby agree to release, discharge, indemnify and hold harmless Ndamba, its agents, representatives, partners, volunteers, and employees, from and against any and all claims, demands, causes of action, liabilities, damages, personal injuries including death, property damage, economic losses, or loss of any nature or cause including costs and attorneys fees in connection with or arising from their participation in Ndamba’s soccer programs, including damages and/or injuries sustained as a result of the negligence of Ndamba or its employees or participants in the program. 3.4 Volunteer Participation 3.4.1 Parents/guardians may be asked to assist in roles such as transportation, snack provision, or event setup. Participation is optional but encouraged to support the program. 4. Terms for Volunteers 4.1 Eligibility 4.1.1 Volunteers must complete an application form and pass a background check conducted by Ndamba.org. 4.1.2 Volunteers must be at least 18 years old or provide parental consent if under 18. 4.2 Code of Conduct 4.2.1 Volunteers must act responsibly, respectfully, and in the best interest of the players. 4.2.2 Volunteers must refrain from any behavior that could be perceived as inappropriate or harmful to participants. 4.3 Responsibilities 4.3.1 Volunteers are expected to fulfill their assigned duties promptly and reliably. 4.3.2 Volunteers must notify Ndamba.org staff as soon as possible if unable to fulfill a commitment. 5. Terms for Staff 5.1 Employment Policies 5.1.1 Staff must comply with all applicable employment policies and state regulations, including background checks. 5.1.2 Staff must complete training as required by Ndamba.org. 5.2 Code of Conduct 5.2.1 Staff must uphold Ndamba.org’s values of inclusion, integrity, and respect. 5.2.2 Any misconduct, including but not limited to discrimination, harassment, or negligence, will result in disciplinary action. 5.3 Responsibilities 5.3.1 Staff members are responsible for ensuring the safety and well-being of players. 5.3.2 Staff must report any incidents, injuries, or violations of these terms to Ndamba.org management promptly. 6. Financial donations 6.1 As a non-profit organization, ndamba.org relies on the generosity of its partners to fund its daily operations. Parents and guardians in particular are encouraged to donate generously to help provide the funds needed to carry out the activities of Ndamba.org. 7. Communication 7.1 All parents, guardians, volunteers, and staff will be required to join Ndamba.org’s social media groups (such as Whatsapp) to ease communication. 7.2 Ndamba.org reserves the right to expel anyone from its WhatsApp group for misconduct or any other reason. 8. Media and Photography 8.1 Consent 8.1.1 By participating, parents/guardians/volunteers consent to the use of their child’s photographs or videos taken during Ndamba.org events for promotional purposes. 8.1.2 Parents/guardians who do not wish for their child’s image to be used must notify Ndamba.org in writing. 8.2 Prohibited Use 8.2.1 Unauthorized photography or videography by participants or visitors that disrupts activities is prohibited. 9. Privacy Policy 9.1 Data Collection 9.1.1 Ndamba.org collects personal information during registration for communication and emergency purposes. 9.2 Data Usage 9.2.1 Personal data will not be shared with third parties without explicit consent, except as required by law. 10. Dispute Resolution 10.1 Informal Resolution 10.1.1 Participants, parents, volunteers, or staff with concerns should first attempt to resolve issues informally with Ndamba.org management. 10.2 Formal Complaints 10.2.1 Formal complaints must be submitted in writing to Ndamba.org’s office in Arlington, Texas. Ndamba.org will respond within 14 business days. 11. Amendments to Terms Ndamba.org reserves the right to update or modify these terms and conditions at any time. Foundational Beliefs 1) We believe that every person is created in the image of God (Genesis 1:27) and is worthy of dignity, respect, and love. 2) We affirm that God intentionally created humanity as male and female (Genesis 1:27) and that biological sex is a gift from God, determined at birth and immutable. 3) We hold that human sexuality is a gift from God and is designed to be expressed within the marriage covenant between one man and one woman (Genesis 2:24, Matthew 19:4-6). 2. Participation in Gender-Specific Programs 1) For gender-specific teams and activities, Ndamba.org will consider the biological sex assigned at birth as the determining factor for participation. Expectations of Participants 1) All participants, including parents, children, staff, and volunteers, are expected to respect this policy and the Biblical principles it is founded upon. 2) Parents and guardians must acknowledge and agree to this policy when registering their children for participation. 3) Disrespectful behavior or language, including harassment or bullying related to this policy, will not be tolerated and may result in disciplinary action or removal from the program. 4. Support for Participants 1) We recognize that conversations surrounding gender and sexuality can be sensitive. Our organization is committed to providing a safe and respectful environment for all participants. 2) Parents or participants with questions or concerns regarding this policy are encouraged to discuss them privately with a member of our leadership team. 5. Commitment to Love and Respect 1) While we hold firmly to these convictions, we are committed to demonstrating the love of Christ to all individuals (John 13:34-35). 2) Our programs are open to all children within the stated age groups, provided they and their families agree to abide by our policies. 6.
